Standard Operating Procedure for Using Battleground Touchbase

Objective

This SOP outlines the steps to effectively use Battleground Touchbase for sending bulk messages and emergency notifications.

Key Steps

 

1. Accessing Touchbase

  • Navigate to the Touchbase menu in Battleground.

  • If TouchBase is not available, contact support for activation.

 

2. Creating Message Templates (optional)

  • Go to the Message Templates section to pre-write SMS, push messages, or emails.

  • Ensure templates are approved before an incident.

 

3. Sending a New Message 

  • Select '+ Add message' to start a new message in Touchbase.

 

4. Selecting Recipients 

  • Decide on the recipients for the message (e.g., yourself, team members).

  • You can choose as many fields as required to build your recipient list. The number of recipients is shown just under the choices of recipients.

 

5. Choosing Delivery Method 

  • Select the delivery method: SMS, push notification, or email.

 

6. Picking a Message Template or start a new message

  • Choose the appropriate message template or start from scratch. With templates you can edit the message before sending as required.

 

7. Inserting URLs

  • If needed, insert URLs and use the URL shortener for long links.

 

8. Formatting the Message for emails

  • Format the message to include images and tailor it to your needs for emails. SMS and Push will be text only

 

9. Specifying Desired Responses

  • Specify up to five desired responses from recipients.

 

10. Sending the Message

  • Review all selections and press 'Send and Close' to initiate the message.

 

11. Monitoring Responses

  • Check the status of sent messages (queued, failed, sent, delayed) and view responses.

 

12. Following Up

  • Use the slicer to manage long response lists.

  • Send follow-up messages based on responses.

 

13. Handling Failed Messages

  • Review failed messages to identify issues (e.g., app not installed).

Cautionary Notes

  • Ensure all message templates are approved before use.

  • Double-check recipient selection to avoid sending messages to unintended users.

Tips for Efficiency

  • Pre-write and save multiple message templates for quick access during emergencies.

  • Regularly update user metadata to ensure accurate targeting of messages.
